The Opportunity

Flexport is looking for a Business Support Coordinator to join our team in Bangkok. In this role, you'll manage the end-to-end documentation lifecycle for tax invoices and withholding tax certificates, ensuring accuracy, compliance, and timely processing in line with Thailand Revenue Department requirements. You'll serve as a critical link between our local administrative function and the regional finance team, playing a key role in keeping our finance operations audit-ready and compliant.

 

What You'll Do

Tax Invoice & WHT Certificate Management

  • Serve as the primary point of contact for the local firm issuing paper tax invoices, receiving and logging each batch upon arrival
  • Distribute tax invoices to customers once payment has been received
  • Collect original WHT certificates from customers for each payment to substantiate tax credits and ensure compliance with Thailand Revenue Department requirements
  • Maintain a tracking log of all invoices and WHT certificates issued, requested, and collected, flagging outstanding or missing documents

Document Archiving & Filing

  • Scan and upload tax invoices and WHT certificates into Core or the designated Google Drive folder, maintaining a consistent, audit-ready folder structure
  • Organize and retain physical files securely, categorized by document type, vendor/customer, and period, in compliance with Thailand's 5-year retention requirement
  • Conduct monthly reconciliation between physical files and the digital archive, checking for legibility, completeness, and gaps

Finance Team Coordination & Filing Support

  • Act as the primary point of contact for document requests from the Finance team and external advisors
  • Coordinate with Finance and external tax advisors to provide requested documents, schedules, and supporting records in a timely manner
  • Support the Finance team in responding to document-related queries from the Revenue Department or other authorities by retrieving and organising relevant records

 

What You'll Bring

  • 1–2 years of experience in finance support or document management roles, ideally with familiarity in Thailand tax invoice and withholding tax requirements
  • Proficiency in Google Workspace (Drive, Sheets, Docs) and general computer literacy
  • Experience using ERP or operational systems is a plus (training on Core will be provided)
  • Strong attention to detail and organizational skills
  • Good command of written and spoken English
  • Reliable and able to manage recurring tasks independently with minimal supervision
  • Proactive communicator who flags issues early and keeps stakeholders informed
  • Comfortable navigating both digital tools and physical document workflows
  • High integrity, with the ability to handle sensitive financial documents confidentially
