About the role

Role Purpose

The Corporate Services Administrator plays a pivotal role in supporting administrative, operational and communication functions across the company. This role ensures high‑quality, inclusive and timely support for internal teams, members and external stakeholders.

Rostering / Delivery Focus

  • Provide high‑quality administration and customer support for Programs

  • Core responsibilities: rostering support, scheduling, participant communication, incident triaging, phone/email enquiries

  • Additional responsibilities: issuing quotes, booking travel, CRM management

  • Must follow seamless processes and provide clear handover to the other administrator

Key Responsibilities

Organisational Administration

  • Manage central inboxes and phone lines

  • Provide administrative support across all departments

  • Support travel bookings, stationery and merchandise

  • Assist CEO, COO and CFO with diary and meeting management

Data, Systems & Reporting

  • Maintain data integrity across CRM, CMS and project systems

  • Assist with system migrations

  • Support payroll and rostering data entry

  • Ensure correct data entry and linking

  • Follow all paperwork and process requirements

Candidate, Participant & Community Support

  • Act as first point of contact for candidates, participants and weekend staff

  • Support onboarding, applications and communications

  • Coordinate drop‑in sessions, workshops and online events

  • Ensure accessible and inclusive communication

  • Process NDIS quotes and progress reporting

Rostering & Program Logistics

  • Manage rostering systems efficiently

  • Maintain attendance rolls, absentee forms, support worker rosters and WhatsApp groups

  • Identify engagement issues and escalate

  • Complete payroll and timesheet reconciliation

Technology & Equipment Management

  • Support onboarding of new staff

  • Liaise with managers for system access

Communications & Engagement

  • Create accessible templates

  • Distribute timely updates

  • Ensure consistent brand tone

General

  • Participate in staff meetings

  • Maintain confidentiality

  • Support other team members as required

Skills, Knowledge & Attributes

  • Minimum 2 years’ experience in admin, communications or member support

  • Excellent organisation and attention to detail

  • Strong written and verbal communication

  • Problem‑solving and risk management skills

  • Experience with CRM, CMS and project management tools

  • Proactive, flexible and comfortable working remotely

  • Strong interpersonal skills and inclusive practice

  • Governance or payroll experience desirable

  • Knowledge of disability, education or arts sectors advantageous

Selection Criteria

  • Certificate/Diploma in Business Administration (desirable)

  • Proven administrative expertise

  • Proficiency with Google Workspace, Microsoft Office, CRM, Asana
